Privacy Policy

This Privacy Policy explains what information Greggs Ops collects, why, and how it's handled. It covers both the Discord bot and the web dashboard.
1. What We Collect
From Discord
- Your Discord user ID, username, and avatar
- Your roles and nickname within the server
- Messages and files sent in support tickets and applications, for the purpose of handling them
- Basic activity counts (message counts, voice channel time, commands used) to power staff performance statistics — message content outside of tickets is not permanently retained
- Moderation-relevant events (message edits/deletes, role and nickname changes, joins/leaves) for audit logging
From Roblox
- Your Roblox user ID and username, once you link your account
- Your rank within the Greggs Roblox group
- If you sign in via Roblox OAuth, only the basic profile information covered by the
openidandprofilescopes — we do not receive your password, payment information, or the ability to act on your Roblox account beyond what's described in our Terms of Service.
Staff & Operational Records
If you are a staff member, we may additionally hold:
- Shift history and duration
- Disciplinary case records, notes, and any evidence files submitted in connection with them
- Tickets you've handled and any performance-related statistics derived from the above
Technical Data
- Dashboard sign-in history, including IP address and browser information, kept for security purposes
- A session cookie while you're signed into the dashboard, used only to keep you logged in
2. Why We Collect It
Solely to operate the group: syncing your Roblox rank and nickname, running the ticket and application systems, managing shifts and staff records, keeping a security-relevant login history for the dashboard, and maintaining an audit trail for moderation accountability. We do not use your data for advertising, and we do not sell or share it with third parties beyond what's necessary to communicate with Discord's and Roblox's own APIs.
3. How Long We Keep It
Most operational records (shifts, tickets, case history) are kept for as long as you're part of the group, so there's a continuous record for staff management purposes. Lower-level activity logs are deleted automatically on a schedule:
- Message edit/delete logs — 30 days
- Voice activity logs — 14 days
- Member, role, and channel change logs — 90 days
- Command usage logs — 60 days
- Moderation action logs (warnings, bans, etc.) — 365 days
Disciplinary cases follow their own expiry rules set at the time they're issued, shown to you when one is recorded, and are archived (not permanently deleted) 90 days after they end.
4. Where It's Stored
Data is stored in a private database on infrastructure we control directly. It is not stored with, or accessible to, any advertising or analytics company. Evidence files uploaded to disciplinary cases are stored on the same private infrastructure and are only accessible to staff with the relevant permissions.
5. Your Rights & Choices
- You can unlink your Roblox account at any time — see the Terms of Service for how.
- You can ask a member of management to review, correct, or delete personal data we hold about you, subject to reasonable operational needs (for example, we may need to retain disciplinary records relevant to an active appeal).
- You can leave the Discord server at any time, which stops any further activity data being collected about you going forward.
6. Children's Privacy
This Service is not directed at children under the age required by Discord's and Roblox's own Terms of Service to hold an account on those platforms. If you believe a child has provided us with personal information in violation of this, please contact us so it can be removed.
7. Security
We take reasonable technical measures to protect the data we hold, including restricting evidence and staff-record access by role, and keeping regular backups. However, no online service can be guaranteed 100% secure, and we can't promise absolute security of information you provide.
8. Changes to This Policy
This Privacy Policy may be updated from time to time. Continuing to use the Service after a change means you accept the updated policy. Significant changes will be announced in the Discord server where practical.
